How To Create And Manage Contact Tags

Learn how to create tags, color code them, tag contacts, and organize your contact lists.

Tags help you organize and segment your contacts by industry, company size, lead status, or any way you choose. Once you've tagged contacts, you can filter them easily, set up automatic workflows with integrations, or push data to Zapier-enabled tools.

How to Create Tags

Method 1: From the Tags Page

  1. Go to Content Library from the left sidebar

  2. Click on Tags

  3. Click "+ Add New" button in the top right

  4. Enter your tag name

  5. Choose a color from the color picker

  6. See the preview of how your tag will look

  7. Click "Add"

Your tag is now created and ready to use on contacts.

Method 2: While Tagging Contacts

  1. Go to any contact page (My Contacts, Campaign Contacts, etc.)

  2. Select one or more contacts

  3. Click the "Tags" button or filter

  4. Click "+ Add new tag" at the bottom

  5. Enter the tag name and choose a color

  6. Click "Add"

The tag is created and automatically applied to the selected contacts.

How to Add Tags to Contacts

Add tags to one contact:

  1. From any contact page, find the contact

  2. Click in the Tags column for that contact

  3. Select existing tags from the list or click "+ Add new tag"

  4. Tags are applied immediately

Add tags to multiple contacts at once:

  1. Select multiple contacts by checking the boxes next to their names

  2. An "Add tag" modal will appear

  3. Select the tags you want to add (you'll see "Managing tags for X selected contacts")

  4. Click "Add tags"

Note: Existing tags on contacts will be skipped automatically - only new tags are added.

Understanding Tag Colors

Tags are color-coded for easy visual identification:

  • Green: Often used for qualified leads or positive status

  • Blue: Commonly used for interested prospects

  • Yellow/Gold: Typically for decision makers or high-priority contacts

  • Red/Pink: Usually for urgent items or hiring-related tags

  • Purple: Often for referrals or special categories

  • Gray: Neutral or low-priority items

  • Other colors: Customize to fit your workflow

You can see your color-coded tags throughout the system - in contact tables, campaign views, and filters.

How to View Tags on Contacts

Tags appear in multiple places:

In Contact Tables:

  • Tags are shown in the "Tags" column

  • Multiple tags are displayed with their colors

  • If a contact has more than 3 tags, you'll see "+2" (or another number) indicating additional tags

In Tag Filters:

  • Click on the Tags filter in the top right

  • See all tags applied to contacts in that view

  • Tags are displayed with their colors for easy identification

How to Edit Tags

  1. Go to Content Library > Tags

  2. Find the tag you want to edit

  3. Click the edit icon (pencil) in the Action column

  4. Update the tag name or color

  5. Click "Save"

The updated tag will automatically update everywhere it's used.

How to Delete Tags

  1. Go to Content Library > Tags

  2. Find the tag you want to delete

  3. Click the delete icon (trash) in the Action column

  4. Confirm deletion

Important: When you delete a tag from the Tags page, it is permanently removed from your system. This tag will be removed from all contacts who have it. Unlike before, tags now persist in the system even when not applied to contacts, so you can create and manage them independently.

How to Remove Tags from Contacts

Remove a tag from one contact:

  1. Find the contact in any contact view

  2. Click on the Tags area for that contact

  3. Uncheck the tag you want to remove

  4. The tag is removed immediately

Remove tags from multiple contacts:

  1. Filter or select contacts with the tag you want to remove

  2. Select the contacts

  3. Open the tags modal

  4. Uncheck the tags you want to remove

  5. Click "Save" or "Apply"

How to Filter Contacts by Tags

Using the Tags filter:

  1. Go to any contact view (My Contacts, Campaign Contacts, etc.)

  2. Click on the "Tags" dropdown in the top right

  3. Select the tags you want to filter by

  4. You can select multiple tags

  5. Only contacts with those tags will show

The filter shows all your tags with their colors, making it easy to find what you're looking for.

Managing Tags from Content Library

Access your tags centrally:

  1. Go to Content Library in the left sidebar

  2. Click on Tags

  3. Here you can: • See all your tags with their colors • Search for specific tags • Create new tags • Edit existing tags • Delete tags you no longer need

  4. The preview column shows exactly how each tag will look when applied

This is your central hub for tag management, separate from contact tagging.

Best Practices

Create tags before campaigns: Set up your tag system in Content Library before starting campaigns so you're ready to organize contacts as they come in.

Use consistent color coding:

  • Green for qualified/positive status

  • Red for urgent or needs attention

  • Yellow for decision makers

  • Blue for interested prospects

  • Purple for referrals

Don't create too many tags: Keep your tag list manageable (10-20 tags is usually enough). Too many tags make filtering and organization harder.

Combine tags for powerful filtering: Use multiple tags together like "Qualified" + "Decision maker" to find your best prospects quickly.

Review and clean up regularly: Delete unused tags from Content Library to keep your system organized.

Use tags with integrations: Tags sync with your CRM and automation tools, so tagging contacts in We Connect can trigger workflows in other systems.
