AI Auto-Reply: Automated Responses for Your Campaigns

Set up AI to automatically respond to prospect messages. Choose between Co-Pilot mode for reviewing drafts or Autonomous mode for fully automated replies.

Auto-Reply uses your business context to generate and send responses to prospects automatically. Choose between reviewing drafts or letting AI handle replies completely.

Understanding Reply Modes

When setting up a campaign, you'll choose how AI assists with replies:

Manual only

AI is disabled. You write every response yourself.

Co-Pilot

AI generates draft replies that wait in your inbox for approval. You can edit, regenerate, or send them as written.

Fully autonomous

AI automatically sends replies without your approval. You can review conversations anytime and take over manually when needed.

Setting Up Auto-Reply

1. Choose Your Reply Mode

In your campaign Settings, select Manual, Co-Pilot, or Fully autonomous under Reply settings.

2. Select Your Business Snapshot

Click the business context selector and choose which business snapshot AI should use for this campaign. Each snapshot contains your company information, goals, and communication preferences that guide AI's responses.

3. Save and Launch

Click Continue to save your settings.

Working with Co-Pilot Mode

Finding Drafts

When prospects reply, AI generates drafts that appear in your inbox with an AI draft badge. Use the inbox filter to view only AI drafts for quick batch review.

Approving Replies

Open any conversation with a draft, review the message, and click Approve & Send. You can edit the draft before sending or regenerate if you want a different approach.

Working with Autonomous Mode

How It Operates

AI reads incoming messages and sends replies immediately based on your business snapshot. Messages show an autonomous icon so you know AI sent them.

Taking Manual Control of a Conversation

To handle a specific conversation yourself:

  1. Open the conversation

  2. Click Turn off autonomous replies in the header

  3. Confirm in the modal

AI stops responding to this prospect while continuing to work on other conversations.

Switching the Entire Campaign

You can change your campaign's reply mode anytime from the Settings tab:

  1. Go to your campaign's Settings

  2. Select a different reply mode (Manual, Co-Pilot, or Autonomous)

  3. Save your changes

The new mode applies immediately to all future replies. Messages already sent remain unchanged.

Monitoring Activity

Filter your inbox by Autonomous to see all conversations where AI has sent automatic replies.

Changing Reply Modes

You can switch between Manual, Co-Pilot, and Autonomous modes at any time, even after your campaign is running.

From Campaign Settings

  1. Navigate to your campaign's Settings tab

  2. Under Reply settings, select your new mode

  3. Click Save

Changes take effect immediately for all future replies in that campaign.

What Happens When You Switch

Switching to Manual or Co-Pilot from Autonomous

AI stops sending automatic replies. Messages already sent cannot be recalled, but all new incoming messages will either require your manual response (Manual mode) or generate drafts for your approval (Co-Pilot mode).

Switching to Autonomous from Co-Pilot or Manual

AI begins sending automatic replies to new messages. Any drafts waiting for approval remain in your inbox.

Editing Your Business Snapshot

You cannot switch to a different business snapshot once your campaign is active, but you can edit the current one:

  1. Go to AI Settings from the main menu

  2. Find the business snapshot assigned to your campaign

  3. Click the edit icon

  4. Update the information as needed

  5. Save your changes

Updates to your business snapshot apply immediately to all campaigns using it.

Best Practices

Start with Co-Pilot

Run Co-Pilot mode for your first week to see how AI interprets your business snapshot. Review the drafts it generates, make adjustments to your business snapshot based on what you see, then consider switching high-volume campaigns to Autonomous.

Use Different Snapshots for Different Audiences

Create dedicated business snapshots for:

  • Enterprise prospects vs. small businesses

  • Different products or services

  • Different sales stages or campaign goals

Assign the appropriate snapshot to each campaign for more relevant responses.

Review Autonomous Conversations Regularly

Check your autonomous conversations weekly by filtering your inbox. If AI consistently misses the mark or misunderstands prospect intent, either refine your business snapshot with more detailed guidance or switch that campaign back to Co-Pilot mode.

Switch Modes Based on Campaign Performance

  • If a campaign generates high-quality leads, consider switching to Co-Pilot or Manual for more personalized attention

  • If a campaign is primarily for lead qualification, Autonomous mode can handle the volume

  • For re-engagement campaigns, Co-Pilot mode lets you review before reconnecting

Keep Manual for VIP Prospects

Use manual mode for executive relationships, complex negotiations, partnership discussions, or any situation requiring nuanced judgment and creative problem-solving.

Test Mode Changes

When switching to Autonomous mode, monitor the first 10-20 conversations closely. If the quality meets your standards, let it run. If not, switch back to Co-Pilot and adjust your business snapshot.

Troubleshooting

Replies don't sound like my brand

Your business snapshot's tone setting and product description guide AI's voice. Go to AI Settings, edit your business snapshot, and update these with more specific language and examples.

Replies lack detail

Edit your business snapshot from AI Settings and upload case studies, product specs, or FAQs. The more context AI has, the more specific it can be.

AI drafts aren't showing up

Confirm Co-Pilot is enabled and a business snapshot is assigned to your campaign. Check that your inbox filter isn't hiding AI drafts.

Can't turn off autonomous mode

The turn-off button appears in individual conversation headers, not campaign settings. If you don't see it, refresh the page.

Need to use a different business snapshot

You cannot switch to a different snapshot once a campaign is active. However, you can edit the current snapshot from AI Settings, and changes will apply to all campaigns using it.

FAQ

Can I change reply modes after my campaign starts?

Yes. Go to your campaign Settings and select a different mode anytime. The change applies immediately to all future replies.

Can I switch to a different business snapshot after my campaign starts?

No. Once a campaign is active, you cannot switch to a different business snapshot. However, you can edit the current snapshot from AI Settings, and all updates will apply to campaigns using it.

Can I use different snapshots for different campaigns?

Yes. Each campaign can have its own business snapshot, but you must choose it during campaign setup.

What happens to messages already sent when I switch modes?

Already-sent messages cannot be recalled. The new mode only affects future incoming replies.

What happens to pending AI drafts when I switch to Autonomous?

Drafts remain in your inbox. They won't be automatically sent—you'll need to approve them manually.

Can I turn off autonomous mode for just one conversation?

Yes. Click "Turn off autonomous replies" in that conversation's header. The campaign continues in Autonomous mode for other prospects.

How do I batch-review AI drafts?

Filter your inbox by "AI draft" to see all pending reviews at once.

Will prospects know AI is replying?

No. AI matches your brand voice. However, be transparent if asked directly.
